Location: Baltimore, MD
Jewish National Fund seeks an Events Manager for the Baltimore office.
The purpose of this position will be to plan, implement and follow-up on all high potential events in the Central South Mid-Atlantic region including, Baltimore, Washington, D.C., Greater Atlanta, Philadelphia, and Southern New Jersey. All tasks and activity related to the events will be done in coordination with the event’s campaign staff, and the Director, COE.
Accountabilities:
• Work closely with COE Director and campaign staff to define event goals, objectives and specific implementation plans
• Oversee execution of the program (A/V, music, timing, script, catering, etc)
• Coordinate the tribute/ad journal–work with campaign staff to reach out to sponsors of the event to get their ads and format the printed or visual ad journal
• Coordinate any letters from elected officials (congressmen, local mayor, etc) for the ad journal
• Coordinate and collect items for an auction (silent or live) and/or raffle at the event
• Work closely with the Marketing Department on all printed matter including:
o Invitations
o Save the Date cards
o Event signs/banners
o Decorations
• Negotiate contracts and rates with outside vendors to ensure lowest costs and highest quality of service
• Work with committee members and event chairs
• Ability to act as a liaison between campaign staff and venues
• Develop lists and oversee mailing of Save-the-Date cards, invitations, etc.
• Confirmation of attendees, keeping track of RSVPs
• Coordinate all catering, rental, and audiovisual needs
• Monitor budgets
• Put in place, finalize and/or confirm event logistics
• Supervise the activities of vendors on the scheduled event day, as required, to ensure successful execution of all event aspects
• Develop and execute follow-up with vendors after event
• Work with campaign staff on follow up- Thank You letters to guests, chairs, committee members, vendors, etc.
Job Dimensions/Key relationships: This position is authorized to approve and negotiate contracts and rates for events that he/she is responsible for. Independent judgment and decision making is needed. This position is expected to work closely with the COE Director and campaign staff for all event coordination. Frequent external communication with lay leaders, donors and volunteers is required when dealing with events.
The following qualifications are required for this position:
• A minimum of 3 years experience in event coordination and/or related field
• Proven negotiation skills with hotels, catering and/or other vendors
• Ability to problem solve and multi-task with numerous deadlines
• Tolerance for time-sensitive transactions and last minute changes
• Ability to work as a team with campaign staff
• Excellent organizational, planning and leadership skills
• High energy, flexibility and ability to meet deadline demands
• Ability to work on multiple events at the same time
• Strong attention to detail
• Excellent interpersonal, verbal and written communication skills
• Strong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Travel throughout the Mid-Atlantic and Central Southern region is required
• BA/BS degree
